Position: Office Logistician / Procurement Expert - LOG2026/01Duty station: Amman, JordanType of contract: National contract, full-timeStart Date and contract duration: 15/04/2026 until 31/12/2026, renewableProbation Period: 3 monthsReporting to: Head of Mission1. BackgroundARCS - Arci Culture Solidali implements development cooperation projects in Jordan in partnership with local authorities, civil society organizations, and international partners (ARCS Culture Solidali homepage)To ensure efficient and transparent management of its operations, ARCS is seeking to recruit an Office Logistician to manage the logistical, operational, and technical aspects of its office in Amman and support the implementation of project activities.2. Purpose of the PositionThe Office Logistician is responsible for ensuring the effective functioning of ARCS logistics systems, including fleet management, procurement, office and asset management, IT tools, and telecommunications.The role also involves developing, implementing, and enforcing Standard Operating Procedures (SOPs) to ensure full compliance with ARCS internal policies and donor regulations (including( AICS/EU) requirements.3. Main Responsibilities and TasksThe Office Logistician will organize her/his work around the following key responsibilities: A. Fleet and Vehicle Management- Coordinate transportation arrangements for missions, delegations, and field visits, balancing operational needs, ensuring efficiency and alignment with operational needs.- Ensure compliance with internal transport SoPs and safety protocols .- Monitor and maintain accurate records of fuel consumption, mileage, maintenance logs, and all related documentation.- Act as the focal point for car rental companies and transport service providers.- Serve as Safety Focal Point for transport-related matters: in the event of an accident,ensure passenger safety and promptly contact medical services, rental companies, and relevant authorities. B. Premises Management- Act as a focal point for the Guest house and ARCS office, responsible for handling requests from ARCS staff.- Oversee utilities, cleaning and janitorial services; and coordinate both routine and for exceptional maintenance of ARCS premises and assets. C. Procurement and inventory- Act as main Procurement Focal Point for ARCS mission; Liaise with the relevant colleagues to plan and anticipate logistical and procurement needs and keep updated the procurement plan.- Ensure timely procurement of goods and services in compliance with ARCS internal policies and donor requirements, for the projects and the office; oversee contracts and update the Suppliers’ registry;- Ensure proper archiving of all procurement documentation and contribute to the further development of ARCS Procurement Management System- Maintain and update the asset and inventory register and Monitor consumables and supplies, ensuring cost-effective use. D. IT Tools and Systems- Oversee the proper functioning of office IT systems (computers, printers, Wi-Fi,);- Coordinate with and Secure IT support services to meet the office needs.- Act as a focal point for telecommunications providers managing internet services and mobile lines, and maintaining updated user records.- Maintain an up- to-date inventory of IT equipment and track user assignments. E. Visas and visits- In coordination with the Operations Manager, assist in the procedures for obtaining work permits and residency cards for Expatriate Staff and support project staff of the Servizio Civile Universale with visa procedures in Jordan;- Support in facilitating logistics of missions, including airport pickup, visa, accommodation, transportation, and other travel arrangements for ARCS HQ staff or international partners and consultants. F. Coordination and Reporting- Participate in internal coordination meetings and provide logistical support for missions and events, and other operational activities- Prepare monthly logistics reports summarizing fleet use, procurement and contracts, IT and telecom status, and inventory updates- Contribute to the preparation of internal and external audits and provide the necessary elements that are requested4. Candidates’ profile- Have Jordanian nationality or having the authorization to work in Jordan- Technical secondary school diploma obtained at least 7 years ago- At least three years of experience as a logistician, accountant, or administrative assistant- At least two years of experience in planning and managing procurement of goods, services, and supplies within cooperation or emergency projects- Mother-tongue Arabic and good command of the English language (spoken and written)- Good computer skills, particularly in using Word, Excel, PowerPoint, and their correspondent Google applications;- Ability to work in a team and good communication skills with partners, suppliers, and local institutions;- Sharing of ARCS’ mission and humanitarian values (ARCS Culture Solidali homepage) Preferred Requirements:- Previous experience with INGOs registered in Jordan, or nonprofit, donor funded organizations- Experience in implementing projects on livelihood, cultural heritage, social inclusion;- Knowledge and experience with the main donors’ procedures and requirements (AICS, UE, other European donors, UN agencies)- Master’s degree or specialized courses in cooperation, humanitarian emergency, logistics, or administration.5.
